Program Coordinator

Full-Time: 40 hours/week
Pay Range: $55,000-$65,000
Location: DC Metro Area (District of Maryland or Virginia); Remote with regional travel

HealthyWomen, the nation’s leading independent health information source for women, seeks a Program Coordinator to support the development, coordination, and execution of stakeholder engagement, policy advocacy, and health education initiatives focused on midlife women’s health.

This role sits within the Strategic Partnerships & Policy Department, which leads educational and policy programs designed to improve awareness, education, and care for midlife women nationwide. The Program Coordinator will be a highly organized, detail-oriented team member who ensures projects, timelines, and deliverables stay on track and that internal operations run smoothly.

This role is ideal for someone passionate about women’s health, eager to grow their skills in policy and program coordination, and comfortable working in a fast-paced, collaborative environment.

Key Responsibilities

  • Support the development and tracking of action plans for policy and education programs, ensuring timelines and deliverables are met.
  • Coordinate day-to-day departmental activities by maintaining project trackers, monitoring deadlines, and following up on assigned tasks.
  • Serve as a liaison with internal teams to support cross-departmental collaboration and timely completion of shared projects.
  • Assist with planning and staffing meetings, conferences, program activities, and events, including:
    • Coordinating planning meetings
    • Managing materials and logistics
    • Supporting virtual and on-site event execution
    • Taking and distributing meeting notes
  • Maintain and update internal documentation, templates, and process guides to support efficient program implementation.
  • Assist with drafting, editing, proofreading, and updating written materials and internal trackers, such as grant and sponsorship materials, stakeholder engagement documents, and policy-related summaries, under the direction of senior staff.
  • Support policy and research monitoring by gathering and summarizing relevant information for team leads as needed.
  • Assist with the preparation and coordination of program-related communications.
  • Support budget tracking and reporting as requested.
  • Provide general administrative and team support as assigned.

Required Skills & Abilities

  • Strong organizational and coordination skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills, including proofreading and editing.
  • Attention to detail and a strong sense of follow-through.
  • Ability to work collaboratively with internal teams and external partners.
  • Comfort learning and using digital tools and platforms such as Google Drive, Asana, Slack, and similar systems.
  • Familiarity with—or interest in learning about—health policy, advocacy, and the legislative process.
  • Understanding of health literacy, cultural sensitivity, and accessible communications.
  • Ability to work independently while also taking direction and feedback.
  • Responsible, flexible, collaborative, and team-oriented.

Qualifications

  • Bachelor’s degree required; coursework or experience in communications, health policy or a related field preferred.
  • Minimum of 2 years of professional experience in an administrative, coordination, or project support role.
  • Experience supporting programs, events, or meetings is preferred.
  • Exposure to policy, advocacy, or government environments (e.g., internships or professional experience on Capitol Hill, at HHS, or in a nonprofit policy setting) is a plus.
